Job Requisition Number: 23525. The Program Advisor/Marketing Coordinator serves as the primary provider of student services and related administrative tasks for visiting international students participating in the Berkeley International Study Program (BISP) in Sociology, currently numbering ~75 students each semester, and backup services to the other Program Advisor who primarily serves the BISP in Letters and Science visiting international students, currently numbering ~225 students each semester. This position also is the primary coordinator for marketing and digital communications for the BISP programs, supporting our ongoing recruitment efforts as the program is anticipated to grow.
Under the general supervision of the directors of BISP, applies professional Student Services and marketing concepts, and provides the full range of student services to the international student population served by BISP in the following areas of work:
Academic Advising: Advises visiting international students in BISP in Sociology and faculty on Concurrent Enrollment and departmental/school/college and university policies and procedures; reviews students' enrollment progress and advises students and faculty on requirements for Concurrent Enrollment agreements and visa status compliance; identifies students with enrollment problems and recommends interventions.
Advises visiting international students on a variety of matters related to their stay at UC Berkeley and study in our program. Provides advice and assistance to students on program requirements, course selection procedures, enrollment issues and suggestions, application procedures, communication with instructors, grades, independent studies, exceptions to agreements, MA papers, and personal matters on living and adjusting to a new country and educational system, and issues affecting their academic work.
Primary person answering emails, Facebook and other social media posts from current, former, and prospective students in BISP in Sociology. Communicates important information and keeps participants updated on deadlines and procedures.
Advise students who are participating in special curriculum plans and explain to them their curriculum options, and monitor their enrollments for compliance with set requirements. Promote and advise international coordinators abroad and prospective students about the specifics of these programs. Advise all visitors to the BISP website on appropriate programs and general information about BISP, referring them to Program Advisor for L&S and/or directors as needed.
Marketing, Recruitment and Admissions: Under advisement of the program directors, plans and implements outreach programs with specifically targeted institutions; advises prospective applicants on necessary academic preparation; appropriateness of program as it pertains to the prospective applicant's goals; utilizing in-depth knowledge of BISP/UC Berkeley Extension?s program requirements and application procedures.
Plans for and produces marketing materials in print and electronic form (i.e. brochures, program videos, Facebook and other posts, Instagram, webinars, BISP website, banners and giveaway items for recruitment events, etc.) for both BISP programs. Create new video and photographic content on various aspects of our program. Create a logo for branding our BISP program as needed.
Coordinate the BISP Student Ambassador program for BISP in Sociology. Recruit international students who are, or will be, alumni of our program to participate and promote student abroad opportunities in our program back in their home institutions.
As needed, travel abroad to meet with students who are interested in our unique study abroad opportunities, and advise on application procedures. Representing UC Berkeley and our program, meet with international coordinators to discuss our program and recruitment efforts. Coordinate logistics for existing and prospective partner visits to UC Berkeley, planning an agenda of meetings with key individuals on campus, class visits, student meetings, dinners, and tours.
Assist with the coordination and logistics for attendance at large-scale recruitment events such as NAFSA and EAIE.
Program Administration: Keep accurate and up-to-date information on our visiting students and the courses they take in excel and program database. Write participation letters for each student in BISP in Sociology, with unofficial grades earned.
Assist with some course enrollment special procedures, and other projects as needed to assist with enrollment processes for sociology courses.
Conduct various types of surveys, including evaluation of our program and prepare information collected for analysis by program directors. Provide statistical reports as needed for analysis by program management and annual reports
Maintain partner listings, information, and notes for both BISP programs in a new shared Salesforce database.
Events: Plans, designs, and provides orientations, workshops and events for students such as social gatherings, receptions, and meetings throughout the semester for the various program participants. In collaboration with the program directors, establish the best date for event, venue, catering, communication, agenda, setting up audio/visual equipment, and leading and participating in presentations as appropriate.
Participate in the Cultural Peer Mentor program, where Berkeley students volunteer to mentor new visiting international students and plan events and simple get-togethers to promote integration and learning among different cultures. Serve as backup to the Program Advisor for BISP in L&S.
Department Assistance: Assist program directors with various ad hoc projects to improve the curricular program and opportunities for our visiting students, and with other program needs that come up.
Professional Development: Read relevant materials and participate in trainings pertinent to study abroad programs, cultural adjustment, advising international students, and other topics related to the successful implementation of services in our program. Attend relevant student advising conferences and workshops on campus and other skill building activities.Knowledge/Skills: ?Experience advising students in an academic department or program on academic matters, courses, enrollment and issues affecting studies. ?Experience working with international students and basic knowledge in foreign study requirements and procedures. ?Working knowledge of advising and counseling techniques. ?Excellent interpersonal communication skills. ?Ability to work with diverse populations including multicultural competencies. ?Skills in service orientation, active listening, and critical thinking. ?Ability to use discretion and maintain all confidentiality. ?Knowledge of University-specific computer application programs and knowledge of University and departmental principles and procedures involved in risk assessment and evaluating risks as to likelihood and consequences. ?Strong computer skills, and trouble-shooting. ?Knowledge and experience working with spreadsheets, database, and compiling statistical reports. ?Highly proficient in MS Office programs, WordPress, desktop publishing and videoconferencing software. ?Thorough knowledge of the fundamentals of writing, grammar, syntax, editorial style, and punctuation, including skill to write in a clear and lively style for creating online content. ?Experience using social media platforms to promote a program and/or events. ?Thorough knowledge of communication principles, media, and marketing techniques. ?Thorough skills to create clear, easy-to-navigate, informative, accurate, well-designed, and functional web sites that provide web content consistent with management directives. ?Thorough technical skills in computer applications for web production, image handling, publishing and design, illustration, presentation preparation, animation, web interaction, and/or other stateof- the-art web communication capabilities. ?Experience planning meetings, events, workshops and excellent presentation skills. ?Strong project management skills. ?Skills in judgment and decision-making, problem solving, identifying measures of system performance and the actions to improve performance. ?Demonstrated ability to identify and develop original ideas to solve problems. ?Ability to work effectively and efficiently, independently, and as a team member. ?Ability to multi-task, and high level of organizational skills and attention to detail. ?Ability to travel for one to two weeks abroad several times a year. ?Ability to work some evenings or on weekends as needed for student events and travel.
